HEART (Humanitarian Empowerment and Relief Team) is a voluntary, independent, non-profit humanitarian organization founded in 2024 and registered in 2025. HEART delivers principled humanitarian assistance guided by humanity, neutrality, independence, and impartiality, prioritizing vulnerable communities including women, children, IDPs, refugees, and host communities.
Roles & Responsibilities
An Admin and HR Officer is responsible for managing daily office administration, ensuring compliance with HR policies, supporting recruitment and staff welfare, and maintaining accurate records to keep humanitarian operations running smoothly.
Core Duties & Responsibilities
1. Human Resources (HR)
- Recruitment & Onboarding: Coordinate job postings, candidate shortlisting, and interview scheduling. Prepare employment contracts and ensure compliance with Sudanese labor laws and donor requirements. Facilitate staff induction and orientation.
- Staff Records & Payroll: Maintain updated personnel files (contracts, leave, performance reviews). Support payroll preparation and ensure accuracy in salaries, benefits, and deductions. Track staff attendance, leave balances, and timesheets.
- Performance & Capacity Building: Assist in performance appraisal processes, identify training needs, and coordinate staff development activities. Support safeguarding and accountability frameworks and promote staff welfare and well-being initiatives.
2. Administration
- Office Management: Oversee office supplies, utilities, and maintenance. Ensure proper filing systems (digital and physical) for organizational documents. Manage correspondence, scheduling, and meeting logistics.
3. Compliance & Reporting
- Compliance & Reporting: Ensure adherence to organizational policies and donor regulations. Prepare administrative reports for management and donors. Support audits and verification processes.
Requirements
- Bachelor’s degree in HR, Business Administration, or related field
- 2–3 years of relevant experience
- Strong knowledge of Sudanese labor law
- Proficiency in English and Arabic
